This Privacy Policy explains how CiteWing ("we", "us", or "our") handles information when you use our website and AI-visibility outreach service (the "Service").

1. Information We Collect

Information You Provide to Us

We collect information you give us when you create an account, add a website, use the Service, submit feedback, or contact us. This includes:

Account Information: Your name, email address, and profile details.
Website Information: Your website, business profile, sender name, signature, and outreach settings.
Communications: Support messages, feedback, reviews, and outreach you submit or approve.
Payment Information: Your subscription, invoices, and payment status. A payment processor handles card details. We do not store full card numbers.

Information We Collect Automatically

When you use the Service, we collect or create:

Service Data: Buyer questions, AI responses, cited pages and brands, public publisher contact details, outreach drafts, sent messages, replies, bounces, and opt-out requests.
Log and Device Information: IP address, browser and device details, pages viewed, access times, and service logs.
Cookies: Session and security cookies needed for sign-in and account protection.
Trial Checks: Account email and a payment-card fingerprint, not the card number, to prevent repeat trials.

2. Use of Information

We use this information to:

provide and improve the Service;
process payments and send account or billing notices;
answer questions and provide support;
analyze your site, check AI visibility, and find publishers from cited pages;
set up an outreach domain and inbox, draft and send outreach, and handle replies; and
honor opt-outs, manage bounces, prevent abuse, and protect the Service.

Some features send website content, buyer questions, cited pages, outreach context, or replies to AI service providers to complete a task. If you turn on autopilot, CiteWing may send outreach and follow-ups without asking you to approve each message.

We may share information as follows:

Service Providers: With companies that help us run payments, hosting, sign-in, AI features, domains, email, security, and support.
Publishers: With people who receive outreach you authorize, including your sender name, sending address, and message.
Legal Requirements: When disclosure is needed to comply with law or a legal request.
Protection: To enforce our Terms of Service or protect the Service, our users, and others.
Business Transfers: As part of a merger, sale, financing, or acquisition.

An approved review may appear publicly with your first name, as explained when you submit it. We do not sell personal information.

4. Analytics

We use technical logs and usage data to find errors, protect accounts, and improve the Service. We use essential cookies for sign-in and security. You can block cookies in your browser, but parts of the Service may stop working.

5. Data Retention

We keep information for as long as needed to provide the Service, honor opt-outs, resolve disputes, prevent abuse, and meet legal or billing obligations.

If a workspace stops being paid, it stays paused for 14 days. After that, we archive it and stop renewing its outreach domain. Its past visibility and outreach data remains available read-only unless you request deletion. We may keep limited records when needed for legal, billing, security, or suppression purposes.

6. Your Rights

You have choices about your information:

Account Information: You can change your profile, outreach settings, autopilot preference, and billing details in your account.
Cookies: You can remove or block cookies through your browser settings.
Outreach: If you receive an outreach email, you can reply with an opt-out request or use the opt-out method in the message. We keep a suppression record to prevent further outreach to that contact.
Data Access and Deletion: You can ask to access, correct, export, or delete your personal information. Your rights may vary by location.
