Terms of Service

Last Updated: September 29, 2026

These Terms of Service ("Terms") apply to your access to and use of CiteWing (the "Service"). Please read them before using the Service.

Accepting these Terms

By using the Service, you agree to these Terms. If you disagree, please do not use it. You must be at least 18 and able to enter into a binding agreement.

Changes to these Terms

We may update these Terms when the Service or law changes. We will change the date above and give additional notice when required. If you keep using the Service after an update takes effect, you accept the updated Terms.

Privacy Policy

Our Privacy Policy explains how we handle information about you and the people contacted through the Service.

Data Collection

To run the Service, we process your account and business details, website content, visibility scans, public publisher contact details, outreach messages, replies, and billing status. We also collect technical information needed to operate and secure the Service. The Privacy Policy explains this in more detail.

Analytics

We use service logs to understand errors, protect accounts, and improve the Service. See our Privacy Policy for more about technical data and cookies.

Your Data Rights

You can ask to access, correct, export, or delete your personal information. Your rights depend on where you live. Contact hello@citewing.com from the email address linked to your account. We may check your identity before acting on a request.

Data Retention

We keep information while it is needed to provide the Service and for billing, security, legal, and opt-out purposes. When a workspace stops being paid, its activity pauses for 14 days. After that, the workspace is archived and its history remains available read-only. Our Privacy Policy explains retention and deletion.

Third-Party Services

We rely on outside services for payments, hosting, AI features, domains, and email. Their availability and terms may change. Outside websites linked from the Service have their own terms and privacy policies.

Creating Accounts

Give us accurate information, keep your account secure, and tell us if you suspect unauthorized access. You are responsible for activity under your account and must have permission to represent each business you add.

Payment comes before onboarding, site analysis, or setting up an outreach domain and inbox. Eligible new customers pay $19 for a 7-day trial. The base plan then renews at $95 per month or $950 per year, depending on the option chosen. If you have used a trial before, you can subscribe at the regular price.

An extra workspace costs $75 per month and an extra inbox costs $49 per month. Add-ons are billed monthly and must be paid for before setup. Applicable taxes may be added.

Subscriptions renew until cancelled. You can manage your plan, card, invoices, and cancellation through the billing portal in Settings. Cancellation takes effect at the end of the current paid period, and your workspace keeps running until then.

Your Content & Conduct

You keep ownership of the business information and content you provide. You allow us to use it to provide, secure, and improve the Service. You are responsible for the accuracy and legality of your claims, sender identity, and messages you submit or authorize.

CiteWing checks selected AI models for cited pages, then uses those pages to find publishers and prepare relevant outreach. You can approve messages yourself or turn on autopilot, which may send outreach and follow-ups without asking you to approve each one. Outreach is sent from a separate domain and inbox set up for your workspace. Publishers decide whether to add a mention; we do not edit their websites.

You may not use the Service to:

  • send spam, harass people, impersonate someone, or make deceptive or unlawful claims;
  • upload purchased or unrelated bulk contact lists;
  • run private blog networks, bulk link packages, or ranking-manipulation schemes;
  • add links or content to a publisher's website without their consent; or
  • ignore an opt-out request or break applicable marketing and privacy laws.

Outreach should explain why your brand belongs on the cited page. We may pause sending that breaks these rules or puts people or sender reputation at risk. Each new inbox begins with a lower daily sending limit and ramps up to no more than 30 emails per day over two weeks. Excessive bounces may also pause sending.

CiteWing Materials

We and our licensors own the Service, its software, design, and branding. You may use them for the Service's intended business purpose while your access is active. Do not bypass security, disrupt the Service, scrape protected areas, or reverse engineer the Service where the law allows us to restrict that activity.

You may link to our website, but may not present our branding as your own or suggest we endorse you without permission. We are not responsible for the content of websites we do not control.

The Service is provided "as is" and "as available". To the extent allowed by law, we disclaim implied warranties, including fitness for a particular purpose and non-infringement.

To the extent allowed by law, CiteWing is not liable for indirect or consequential losses, including lost profits, data, reputation, or business opportunities. Our total liability for claims related to the Service will not exceed what you paid us in the 12 months before the claim. Nothing in these Terms limits rights or liability that cannot legally be limited.

You agree to defend and indemnify CiteWing against third-party claims and reasonable costs caused by your content, instructions, use of the Service, violation of these Terms, or violation of another person's rights or applicable law.

Governing Law

These Terms are governed by the laws of Malaysia, without regard to conflict-of-law rules. This does not take away any rights you have under laws that cannot be waived.

Jurisdiction

The courts of Malaysia have exclusive jurisdiction over disputes relating to these Terms or the Service, except where applicable law requires otherwise.

Termination

We may suspend or end your access if you break these Terms, fail to pay, or create a legal or security risk. You may stop using the Service at any time, but you must cancel through the billing portal to stop renewal.

If a payment fails or your subscription ends, we pause scans, sending, follow-ups, and reply drafting. During the 14-day grace period, we keep the workspace, domain, inbox, and data. Reactivating during that period resumes activity without a new inbox. After that, we archive the workspace and stop renewing its domain. Reactivating an archived workspace requires a new subscription, domain, and inbox; past data remains available.

Terms that reasonably need to continue, including payment obligations, ownership, disclaimers, and liability limits, remain in effect after access ends.

Entire Agreement

These Terms and our Privacy Policy form the agreement between you and CiteWing about the Service.

Feedback

Please let us know what you think of the Service, these Terms and, in general, CiteWing. When you provide us with any feedback, comments or suggestions about the Service, these Terms and, in general, CiteWing, you irrevocably assign to us all of your right, title and interest in your feedback, comments and suggestions.
